When you submit an application through this form, we collect:
- Student full name, date of birth, email, phone number, and home address
- Parent or guardian name, phone, and email
- Emergency contact information
- Tour clothing preferences
- Medical information including allergies, medications, and dietary restrictions
- Uploaded documents including student photo ID, birth certificate, insurance card images, and recommendation letters
- Student essay text
- Acknowledgment of payment and conduct expectations
- Student and guardian digital signatures
How We Store Your Data
All information submitted through this form is encrypted in transit using TLS 1.2+ and stored securely in Cloudflare's US-based data centers. Uploaded documents are stored in encrypted object storage. Form data is stored in encrypted key-value storage. Access to stored data is restricted to authorized NWBP staff through a password-protected admin interface.
How We Use Your Data
We use the information you provide solely for the following purposes:
- Processing your student's application for the HBCU College Tour
- Communicating with parents and guardians regarding tour logistics
- Ensuring student safety during the tour through medical information
- Coordinating clothing and supplies based on stated preferences
- Generating confirmation receipts and administrative records
We do not sell, rent, or share your personal information with third parties for marketing purposes.
Data Retention
Application records are retained for the duration of the current tour season plus one year. After this period, all personally identifiable information and uploaded documents are securely deleted. Anonymized aggregate data may be retained for program reporting purposes.
Your Rights
You have the right to:
- Request access to the data you have submitted
- Request correction of inaccurate data
- Request deletion of your data before the standard retention period ends
- Withdraw your consent at any time by contacting us

Third-Party Services
This application is hosted on Cloudflare Pages and uses Cloudflare Turnstile for bot detection. Cloudflare is a reputable, enterprise-grade hosting provider. No other third-party analytics, tracking, or advertising services are used on this form.
